Booking management

Keep an eye on your bookings. Here we explain how to void, cancel or refund bookings, import PNRs with and without automatic pricing and more.     

General

When using Cockpit you are able to get an overview of all your bookings at any given moment by using the menu "My Bookings".

If you want to call up and edit individual bookings, enter the passenger name, filekey or Super PNR in the search field.

Search also specifically for reservations with ticket time limit within the next 24 hours. This makes your daily work easier!

To keep track of all your bookings, import the PNR created in your GDS directly into Cockpit.

PNR Import

Using the "PNR Import" function you can transfer bookings from your own GDS to “My Bookings” for further processing, adding seats and extras as well as ordering tickets.

Please activate your Office ID or PCC to your consolidator and enter an additional remark to the PNR containing your agency number:

Amadeus: RM AGYKD-123456 
(123456 = your agency number)

Sabre: 5AGYKD-123456

Galileo: NP.H*AGYKD-123456
 

PNR Import Sabre GDS: 

If an error occurs during re-pricing after the PNR has been imported (error code 6701), please perform a Branch Access B and activate the PNR. 

Please note that this can only be entered by a user with admin rights in Sign-on (EPR).

Entry: W/TAA<ihre PCC># B9UZH

Currently, importing is only possible for bookings from Amadeus, Sabre and Galileo GDS. Farelogix will follow.

PNR-Import - Automatic Pricing

When you're importing your PNR you might want to choose an automated repricing. 

In order to do so, you have to store a daily TST/PQ and a fare remark in the GDS booking:

The prefix can also be AFW2 / AGY or AQ, e.g. RM or 5 AFW2TARIFF-IATA will work

However, please note that for the time being, this option is only available for German agencies with corporate codes.

For the time being, we're working on enabling the corporate codes for all other countries.

Sharing is caring, and as soon as this function is ready for the rest of the world, we will all have the pleasure of using the tool. 

The following fare types can be entered. But note that the fare depends on the activation for the agency:

Search for bookings

Set filters to help you find the booking you´re looking for more quickly. 

The choice is yours:

  • Booking status - open, ordered, issued, cancelled or departed
  • Ticket time limit - TKTL < 2 days, TKTL 2-7 days, TKTL > 7 days
  • Fare types
  • Creator
  • Booking date - Date of creation of the booking from - to
  • Travel date(s)
  • Airports
  • Airline/Carrier – 2-letter code of the airline, this will be available on the ticket
  • Notes – Free text can be put in this field

Ticket numbers

Are you in need of getting an overview of the ticket numbers? 

By clicking on the TKT icon you will find not only the ticket numbers but also the EMDs issued or voided.

If you later on in your booking process need to get back to this information, you can always go to Passenger Details and get another look.

Cancellations: void or refund

With Cockpit you can void or refund your bookings directly in "My Bookings".

Void

During the void period, issued tickets will automatically be cancelled subject to a contractually agreed fee.

Please note: The void time limit depends on where the ticket was issued. For international fares, the limit may therefore be exceeded on the same day. In this case, the corresponding information will appear.

Refunds

In case the voiding period has expired, you can still request a refund in accordance with the fare conditions for your ticket.

PNR history

Great news, in here you have a complete overview of your booking history. This means, that at a glance you can see if a ticket was cancelled or voided and all other actions that have been taken.

Print travel documents

Under "My Bookings" you can also click on "Print" in order get a booking confirmation, journey registration form, offer or itinerary as a PDF document or you can copy it either on your clipboard and afterwards e.g. on a Word document or you can click on "Copy to Email" to send you customer the information directly. 

Notifications

Once there is a notification about a schedule change or a new ticketing time limit for any PNR, it will be displayed in the notifications counter:

When clicking on the red badge (if count > 0), a dropdown will appear. If you click on one of the dropdown categories (with count > 0), you will get directly transferred to the pre-filtered Order Manager booking list where only bookings matching the OCN quick filter are shown.

Bookings with a schedule change notification or ticketing time limit warning will be listed in the quick links under "Change notifications":

By clicking on the quick link, the list of bookings with a notification will be displayed:

After clicking on the booking to open it, the flight segments with a schedule change will be highlighted and the link "Schedule Change" will be displayed:

By clicking on "Schedule Change", a pop up will open offering you the possibility to accept the schedule changes, refuse them and you will be redirected to submit a rebooking request or cancel the booking and you will be redirected to submit an involuntary refund.

If the booking has a ticketing time limit warning, "New date to ticket..." will be highlighted in red and a "Confirm" button will be displayed:

After confirming, the old TKTL can still be looked up in the PNR history:

Manual TKTL overwrite

Currently Cockpit triggers the Ticketing Time Limit (TKTL) from the stored pricing in "My Bookings". In case that you prefer to set up a different TKTL in the booking (reservation only), this is possible. In such case the agency is fully responsable for the manually set up TKTL. Any manual changes done in the TKTL will be stored in the History of the booking in Cockpit.

The Ticketing Time Limit can be manually changed by clicking on the "pencil" icon for a reservation only PNR with valid pricing:

A pop-up will appear and a new date and time can be entered manually:

By clicking on "Confirm" the date and time for TKTL (Last date to ticket) will be updated, the TKT icon will change accordingly the color and "(edited)" will be displayed next to the date/time:

Any time the TKTL will be edited manually, a new history entry will be saved:
